How to know your subscribers received your email

Email delivery can be haphazard, and sometimes you will want to know for sure that everyone on your list received your email. Instead of asking your subscribers to reply, try using's Rollcall feature.

When you send a message to your list, there is no guarantee all subscribers will get your message.  For instance, their ISP could divert your message to the Spam folder. Nor is there any guarantee that all your subscribers will read your message, even it if ends up in their email Inbox.

If you want to know who is reading a particular email message, then you could ask your subscribers to click on a system-generated URL in the body of that email. When they do, their email address and the date/time of when they responded will be recorded in our system.

After a sufficient amount of time has passed to allow subscribers to respond, request a report of who has and who has not acknowledged your request.

You must use this EXACT phrase in the body of your email message:


We recommend you do the following:

  • Copy and paste the exact phrase to avoid any typos.
  • Put this phrase on a separate line, left justified, since it will expand into a long link.

Example email to your subscribers

This is how the email will look like to your subscribers:

The phrase rollcall-link-here is expanded to include their email address. Our system will wrap that link in angle brackets, so most email readers will not wrap the line.

You could also ask your subscriber to copy and paste the link into a web browser, in case their email reader gives them any trouble with the long link.

Some email readers, like Windows Mail, may display the long link in two lines instead of one. The link can still be clicked or copied into a browser.

When they click on the link, they will be taken to a web page, thanking them for taking action.

Order the Report

After a few days, request the Rollcall Respondees Report. Follow the steps shown below.

Log into your mail-list account at

  • Click Get Reports.
  • Click Send Reports Via Email.
  • Select Rollcall Respondees.
  • Choose an email to send the report.
  • Click Send Reports.

Example Report

Each time you use the Rollcall feature, the system will clear the Rollcall Log. Our system with again start counting subscriber's acknowledgment messages.
